Addicted to Holding On to Old ERP Technology?  Consider This an Intervention.

Day-to-day demands will often distract Distributors from realizing how inefficient their outdated ERP has become. Every time you are forced to create a process outside your ERP solution, you may be losing the battle to gain more customers and prospects.

The pain of operating on old technology and unconnected data systems may be hurting you more than you know. It is not only creating manual workarounds that are error-prone; it is also affecting how your customers perceive you, and getting in the way of acquiring new business.

I recently looked at a customer's ERP system that should have been retired a long time ago. The navigation was not intuitive, and multiple screens were confusing. There was no easy way to get orders into the back office accounting from the ecommerce site.  If I wanted to look closer at a transaction, I had to jump to different modules instead of just clicking a button and seeing all the data behind the numbers.

Sometimes you are so used to doing things the hard way, that you don't even know there is an easier way. For example, when tracking down the shipping costs for an inventory item. With a modern system, you could just click on the total, and see all the landed costs that were incurred to get the item into your inventory. For a distributor with tight margins, knowing your true real-time costs is critical to offering a pricing strategy that makes a profit. In an older system without this capability, you lose sight of just how much your items cost - and don't even see it until after month-end, when it is too late.

A picture is worth a thousand words; we've all heard this adage. That's why graphical representations of your most important key performance indicators should alert you so you can take action. Exception-based data management in a modern ERP solutions  means let's just look at what needs attention so you don't waste time on what's already working.

I toured a distributor's warehouse recently and noticed that there were big screen displays scattered throughout the building so everyone, from the warehouse pickers, to the receivers and purchasers knew what was happening in real-time. Their goals were clearly visible, and alerts were flashing if a sales order triggered an Out-of-Stock  notification. Managers knew when to intervene to keep operations running smoothly.

As in any addiction, the first step to recovery from old technology is admitting you have a problem. The next step is to evaluate how you can add the technology elements that are most important and drive more business into your ecommerce carts and ultimately, your bottom line.

Opening Microsoft Dynamics NAV / Navision Reports in Excel

Many times I have wished there was an option to print a Dynamics NAV / Navision report to Excel but there are only a select few reports that come out of the box with this capability.  I have, in the past, saved the report as HTML then opened that in Excel.  This does work, to some extent, but often requires quite a bit of time consuming re-formatting and clean up. 

I’m excited to say that we have become aware of a better option to pull a Dynamics NAV / Navision report into Excel.  Save the report out of Navision as an HTML file and then open that in Excel as previously stated.  From this point, save this file as a .csv (comma delimited) file.  Open the newly saved .csv file in Excel and you will get the data in a much more manageable format with a lot less cleanup and re-formatting required.

Fiscal Year-End Closing Process for Microsoft Dynamics NAV / Navision

Now that it’s the beginning of a new year, Business Management International (BMI) will receive many support calls requesting assistance on the process of closing the year-end.  This is not a difficult process, but because it’s only performed once a year it’s easy to forget.

Before running the fiscal year-end closing process you will want to tie out your G/L to various sub-ledger reports within Navision.  Below is a suggested list of functions to perform.

  • Ensure all Purchase/Sales Order receipts/shipments have been posted                       

  • Ensure all Purchase/Sales Invoices related have been posted            

  • Run Periodic Activity | Adjust Cost-Item Entries                                      

  • Run Periodic Activity | Post Inventory Cost to G/L                                  

  • Run Inventory to G/L Reconcile Report (inventory invoice accruals)               

  • Reconcile Inventory to G/L and calculate Accrual Entries                     

  • Calculate Depreciation for Fixed Assets

  • Run AP to GL Reconcile Report (non-inventory accruals)

  • Enter all Cash Receipts                                         

  • Run Aged Accounts Payables and Aged Accounts Receivables           

  • Reconcile Aged A/P and Aged A/R to General Ledger            

  • Perform a Bank Reconciliation                                                                                         

  • Enter any Accrual, Reversing, Recurring General Journals (such as: Depreciation, Payroll, Accrued A/P and A/R)

  • Run Financial Account Schedules                       

Once these items have been performed and your end of the year numbers tie out you are ready to process the year end closing.

Closing Accounting Periods:

When the fiscal year is over, you must close the periods.  Once closed, you cannot open or change the periods.

  • Select Financial Management, General Ledger, Periodic Activities, Fiscal
    Year, Accounting Periods

  • Click Close Year

You will then get a message to confirm what periods you are closing

Close Accounting Periods

  • Click YES to close the year

You will notice that a check has been placed in the Closed and Date Locked fields of the Account Periods window.

Close Income Statement Accounts

  • Select Financial Management, General Ledger, Periodic Activities, Fiscal Year, Close Income Statement

 Close Income Statement

  • Fill in the appropriate information then click OK.  This function will calculate the balance at the end of the year for all Income Statement G/L Accounts and create a journal entry in the Template and Batch you specified.  You will then need to go to the journal and post the closing entries.

Smooth Dynamics NAV Software Conversions Aided By MS Excel

In my experience with many companies during a major Dynamics NAV software implementation, “Going Live” appears to be very similar to running a marathon. In recent years, books have been published giving runners a guideline for preparation - starting with the basics and eventually achieving a level of fitness suitable for race day. Ultimately, the degree of “smoothness” of a Dynamics NAV software conversion and the final successful result is highly dependent on the “fitness level” of the key users as the go-live approaches. In both cases – running a marathon and completing a Dynamics NAV ERP implementation – the level of preparation directly affects the outcome!

One key area that is often excluded from preparation when converting to Microsoft Dynamics NAV  is the general education in standard MS Office software – in particular Excel. There are so many aspects of the project where Excel is used that a company must investigate the many low-cost and even free sources of Excel training as a requirement for key users. Continuing education classes offered at facilities easily accessible to the users are a possibility, or make use of materials found on-line. Years ago, I invested in a small MS Office training video library that was made available to the users in our office, and it was a worthwhile investment. Given the use of Excel in data migration, reporting and even testing activities during a project, it has become critical for end-users to have a solid working knowledge of Excel, and it is even necessary to have at least one user with advanced capabilities.

Implementing Dynamics NAV software in your distribution business will be greatly aided by having users that are conversant with Excel.

The Shifting Information Paradigm and The Effect On Dynamics NAV

What does the future of business computing and software look like?  So many things are changing and the pace of change is mind boggling.  Consider that Smartphones and Tablets currently outsell Desktops and Laptops.  This gap will continue to expand.  There will always be some need for larger displays and local computing power and storage but smarter, smaller devices are here to stay.  The younger generation of individuals coming out of college and into the workplace, known as "Generation Y", will only want to work with their Iphone or Android device.  It may take some time before mobile devices can serve all needed information that a person needs to do their job well but I believe it will get there.  Dynamics NAV ERP software is continually looking at the mobile revolution and bringing products to market that will address mobile needs.

Another shifting front, perhaps even more profound than mobile, is the shift to the "Cloud"  Traditional business software deployments, in use today and still being sold, follow the on-premises model.  That model worked pretty well for delivering information to the desktop.  However, the "Cloud" is challenging the on-premises model and continues to see rapid market growth.

Cloud computing deployment has many benefits:

  • Reduced initial Capital Outlay
  • Reduced management of:
    • Backups
    • Virus protection
  • Reduced risk of catastrophe due to:
    • Hardened facilities
    • Redundant power
    • Redundant internet access
    • Quicker disaster recovery

Some business owners are not comfortable having their data in the cloud.  They feel better if their data is in the room down the hall where they can see and touch it. However, owners and managers doing their due diligence will realize that their data is far safer in the Cloud than it is on-premises.

The technology for a full shift to cloud is out there.  Large and small cloud providers are building out facilities and driving down the cost per user and per GB.  The shift has started and it is undeniable and unstoppable.
